How to organise a group birthday card for a remote team
Remote birthdays can feel like another calendar notification. A card filled with individual voices gives the celebration warmth without forcing everyone into the same meeting.
Thoughtful group cards, made easier
Start with a lightweight birthday system

A five-step remote birthday workflow
- Choose a cover that feels like them.A favourite colour or understated design is often more personal than a generic party theme.

Copy this message to the team
“Sam's birthday is next Tuesday, and we're making a card from the team. Add a short note, photo or GIF by Monday at 16:00 London / 11:00 New York: [link]. Sam will not see the card until it is delivered.”
Volg voor een groot kanaal de dag ervoor met één herinnering. Stuur persoonlijke duwtjes alleen naar mensen die nauw samenwerken met de ontvanger; niemand zou zich gecontroleerd moeten voelen voor het missen van een sociale taak.
Make it feel personal without making it awkward
Give contributors prompts: “What do you appreciate about working with Sam?”, “What moment made you laugh?” or “What do you hope this year brings?” Prompts produce more varied messages than a bare request to sign.
Avoid assumptions about age, family, alcohol, religion or how somebody spends their birthday. Warm, workplace-safe notes and a card they can open privately are inclusive by default.
Add a gift only when it helps
A card is already a complete gesture. If your team also gives a voucher, book or food delivery, ask one person to handle it and check that the gift works in the recipient's country. Currency, delivery coverage and tax rules can turn a simple idea into admin.
Put the gift link or a photo of the gift in a message only if it does not expose redemption codes to every signer. Send sensitive codes directly to the recipient.
